Oronoque Forest Condominium Board of Directors May 21, 2018 Directors Present: Linda DiVicino, Jerry McCarthy, Arlene Winters, Nan Ross, Jack Ambrose, Arnie DeMaio, Gary Toole, Deb Eldrich Opening: The meeting was called to order at 7:02 PM by Winters. Unit Owners Present: Raoul and Carole Jacoby (562) presented information on pickle ball. An e-mail would be sent to see if there was any interest. Minutes: A motion was made by Toole and seconded by Ambrose to approve the minutes with no objections or corrections. Financial: McCarthy reviewed the reserves (approximately $177,000+) and capital monies (approximately $104,000+). McCarthy will begin to transfer money into the reserves. Monthly expenses were on target. Winters commented on carry over for the common charges that some owners are not including in their payment. They are being contacted. One unit owner is in arrears with their common charge which was discussed. Ambrose made a motion to initiate collection action and to turn the file over to the lawyer if no payment is made by June 1, 2018. Eldrich seconded the motion. There was further discussion and it passed unanimously. Winters would like to see the tennis courts under its own heading, but McCarthy said it should be under maintenance. McCarthy presented a nine month review of budget vs. actual. There was discussion about this. Landscaping: DeMaio discussed various ways of handling the rock at the entrance with the sign imprinted on it. Initially he wanted it moved, but with suggestions he will try a different method in order to see the sign. Petunias were planted at the entrance, but were eaten and marigolds have now been planted. Ambrose asked about toping off the trees around the pool and this will be investigated further. There was discussion concerning the wall at the exit. Building/Painting/Siding Replacement: Siding replacement is ongoing weather permitting. Carpentry work is complete on buildings 44 and 45. Buildings 46, 47, 48 and 42 are pending. There are seven decks that need to be replaced and reinforcement of decks will continue. Winters commented that some garage doors were damaged during the winter. McCarthy will look into this. Any work done on garage doors needs to be done by a garage door company. She also brought up the driveway form which will be used when needed. Capital Projects: No report Unit Owner Issues: See executive session Good and Welfare: No report Clubhouse: No report Miscellaneous: The new directory has been mailed to all owners. There is one Preswick and a possible Turnberry for sale. The pool is being readied. The visit with the mayor was a success with a good turnout. Eight people have volunteered for possible boards, etc. with the city of West Haven and their contact information was sent to Lou Esposito. Winters talked about doing a newsletter and looking for a social committee. New Business: Toole expressed concerns about unusually loud motorcycle and vehicle noise which will be investigated. Executive Session: There were various issues discussed concerning unit owners. No unit owners were present. Oronoque Forest Condominium Board of Directors April 9, 2018 Directors Present: Linda DiVicino, Jerry McCarthy, Arlene Winters, Nan Ross, Jack Ambrose, Arnie DeMaio, Gary Toole Opening: The meeting was called to order at 7:05 PM by Winters. Unit Owners Present: Michael Stearne (663) spoke about having a thank you party for the men who work full time at Oronoque. Board members will present this idea to the men. Lois Bogdanoff (723) discussed the entrance stone being covered by a bush and not being able to see the name of our community. Minutes: A motion was made by DeMaio and seconded by Ross to approve the minutes with no objections or corrections. Financial: McCarthy reviewed the reserves (approximately $177,000+) and capital monies (approximately $104,000+). Toole had a couple of questions which McCarthy answered. Winters spoke about putting money into the reserve; she would like to see it at $200,000. McCarthy stated that this will begin shortly. Toole suggested financing the money for the next assessment as well as other ideas. This will continue to be reviewed. Winters expressed concern about a few unit owners who are not including the increase in the common charge and McCarthy said his office is on top of this. All unit owners are up-to-date with the common charge except one. Winters again discussed the idea of separating the reserve and capital accounts. There could be three accounts (operating, capital and capital projects) with one checking account. Landscaping: Both DeMaio and McCarthy spoke with Amity Landscaping concerning the cleanup for the complex which has been delayed due to the weather. DeMaio would like to plant pansies for the front entrance. Other types of plantings were suggested. Inspection of shrubs, trees, etc will also take place. Building/Painting/Siding Replacement: Siding replacement is ongoing weather permitting. Building 44 is finished and waiting to be painted and work will begin on building 45. The next building will be 46. Approximately 30 decks have been reinforced and more will be done as the weather improves. Capital Projects: McCarthy reported on the capital planning committee work about the large entrance wall in terms of possible configuration, costs, blocks, shrubbery, etc. This is an on-going process. Unit Owner Issues: Several units have sold and several more will be listed. Good and Welfare: No report Clubhouse: No report Miscellaneous: The board viewed the new directory and it will be mailed to residents in the near future. The date to meet with Mayor Nancy Rossi has been confirmed for Wednesday April 18, 2018 from 7:00 PM to 8:30 PM. A form for driveways will be used. Ambrose stated that all work orders have been completed. The possible formation of a social committee was discussed. There was discussion about replacing the two board members who had resigned. Oronoque Forest Condominium Board of Directors March 12, 2018 Directors Present: Linda DiVicino, Jerry McCarthy, Arlene Winters, Nan Ross, Deb Eldrich, Jack Ambrose, Arnie DeMaio, Toole Opening: The meeting was called to order at 7:01 PM by Winters. Unit Owners Present: No unit owners present Minutes: A motion was made by Ambrose and seconded by Toole to approve the minutes with no objections or corrections. Financial: McCarthy reviewed the reserves (approximately $177,000+) and capital monies (approximately $104,000+). Some final notice letters have been mailed. Winters had checked with McCarthy’s office concerning some accounts and some owners. The office has been contacting some owners who are not always including the common charge increase. Winters also asked McCarthy when money can be added to the reserves and McCarthy stated it would be begin this month. Landscaping: McCarthy presented the contract with Amity Landscaping which will be renewed at last year’s price of $72,000 in eight installments of $9500. Building/Painting/Siding Replacement: Siding replacement is ongoing weather permitting. Building 44 is finished and work will begin on building 45. Reinforcement of decks will also begin (there are no problems with the decks). McCarthy stated more decks will have the new reinforcement system in place for the city inspector. (There had been a problem in West Haven with a deck and the city inspectors wanted stronger reinforcement throughout West Haven.) The city inspector has approved the decks that have been done with this system. Toole proposed having our guys do the painting of the buildings and McCarthy explained why we have outside painters. They also paint garages when needed. McCarthy discussed the history of the particular siding that was originally used in Oronoque and the reasons for the need to do the siding replacement. He also explained the rational with having hired a third person to work. Capital Projects: The capital project committee has met and is looking at the front wall. They are in the process of getting estimates. There may be a few ways of redoing the front wall and as usual an engineer and the city inspector will be involved in helping to make decisions as to the best way to do the work. The wall on the exit side and the Berwick wall are being scheduled for work this year. Unit Owner Issues: There have been a number of units sold with new owners moving in. There are a few units that are rented. There are a couple of Turnberrys and a Preswick that will be going on the market for sale. Good and Welfare: No report Clubhouse: The clubhouse already has two rental dates (in June and for Thanksgiving). Old Business: Winters bought up the issue of speeding and speed bumps. This was discussed. Toole made a motion to not add speed bumps which was seconded by Ross. It passed unanimously. New Business: Winters asked about alternate lighting for outside and McCarthy has been looking into this. Toole asked about the possibility of solar panels and McCarthy responded with the pros and cons. This has always been rejected in the past when individual owners wanted to install them on the roof. Both Mike Romeo and Ozzie Levene have resigned from the board for personal reasons. Gary Toole was voted to be the Treasurer. There are two open spots on the board which prompted a good deal of discussion. Nancy Rossi, West Haven Mayor, has contacted Winters about setting up a meeting with owners/residents. The date is to be determined. Miscellaneous: Nan Ross presented the new directory which will be sent to McCarthy office as a PDF to be printed and mailed to owners. Oronoque Forest Condominium Board of Directors December 11, 2017 Directors Present: Linda DiVicino, Jerry McCarthy, Arlene Winters, Nan Ross, Deb Eldrich, Jack Ambrose, Arnie DeMaio, Ozzie Levene, Mike Romeo Opening: The meeting was called to order at 7:05 PM by Winters. Unit Owners Present: No unit owners present Minutes: A motion was made by Eldrich and seconded by Ross to approve the minutes with no objections or corrections. Election of Officers: Arleen Winters--President Jack Ambrose—Vice President Linda DiVicino—Secretary Ozzie Levene--Treasurer Financial: McCarthy reviewed the reserves (approximately $177,000+) and capital (approximately $158000+). There were some questions about expenses which were answered. A few letters went out to unit owners concerning not paying the increase in common charges, etc. Landscaping: DeMaio reported that all leaf pick up has been completed. Building/Painting/Siding Replacement: Siding replacement is ongoing weather permitting. Capital Projects: There is a committee (Jack Ambrose, Arnie DeMaio, Gary Toole and Jerry McCarthy) that will begin meeting after the holidays to determine the next major projects and costs. Unit Owner Issues: There were several owner issues that were discussed: removal of a tree in front of a unit which will not be removed, a missing cap to a water pipe which was found, a unit sold and another will go on the market, gutters were cleaned and which unit siding is next, etc. There are no parking issues presently. Garbage and recycle bins need to be removed once trash and recyclables are picked up except for the possibility of two unit owners. Good and Welfare: No report Miscellaneous: There is a spot that is opened on the board which generated some discussion. A unit owner was proposed and Winters made a motion to appoint Stuart Nodelman (622) which was seconded by Ambrose. There was discussion and it passed unanimously. Discussion continued after the vote and a motion was made to rescind the vote to appoint Nodelman to the board which passed unanimously. It was decided to have an election at the next Annual Meeting in order to give owners more input in this process. There was discussion of various types of speed bumps and letters were to be sent to owners/residents that this was a possibility due to people not observing the speed limits. Ross has been working on a new directory that hopefully will be ready to mail out around the end of January 2018. Raises and health benefits were reviewed for the employees of Oronoque Forest Condominiums. Executive Session: There were various issues discussed concerning unit owners. No unit owners were present. Oronoque Forest Condominium Board of Directors September 11, 2017 Directors Present: Don Germaine, Linda DiVicino, Jerry McCarthy, Arlene Winters, Jack Ambrose, Arnie DeMaio Opening: The meeting was called to order at 7:15 PM by Winters. Unit Owners Present: None Minutes: A motion was made by Germaine and seconded by Ambrose to approve the minutes with no objections or corrections. Financial: There were no questions about accounts payable. There were some owners who did not include the approved common charge raise and will be sent a letter. Winters would like to have the Annual Meeting and the dates discussed with McCarthy were October 30th or November sixth. Landscaping: DeMaio reported that a new owner with a dog apparently has not been picking up after the dog which has caused problems for the landscaping company when they are mowing the grass. A letter will be sent to correct this issue. DeMaio stated that reseeding will begin this week and new planting next week. There will be inspections and removal of some shrubs and trees. The spruce trees are also having some pest problems. DeMaio has some ideas for plantings at the new wall at the top of Glendevon Drive and will discuss them with the landscaping company. Building/Painting/Siding Replacement: Siding replacement is ongoing weather permitting as well as spot repairs. Painting has been completed on buildings 40 and 41, and is in progress on building 78. Carpentry is complete on buildings 79 and 38 and in progress on building 39. Building 41 is pending. Capital Projects: The wall on Berwick is proceeding with pours, etc. Unit Owner Issues: McCarthy reported on his meeting with a condo owner who had many issues and McCarthy stated the issues were not as serious as first thought. The deck inspections with the city inspector have not been done due to cancellation on the city inspector’s part. A number of owners have put in work orders for their driveways which generated a good deal of discussion. It is the management company and board that determine if a driveway needs total replacement or patching for which the association is responsible. If the condo owner is not satisfied with a wait and see or no issues, they have the ability to have the work done at their own expense. Good and Welfare: No report Tennis Courts: No report Annual Party: Ambrose and Winters discussed the annual party and how it should be handled next year. Executive Session: No unit owners were present. Pool: An umbrella flew up and out of its base and crashing on the table. Some of the people who were there worked to clean up the glass. A suggestion was made to look into bases with a lock for the umbrellas. Miscellaneous: The pavers will be back to fix the walks around the clubhouse. DeMaio questioned using our e-mails to promote businesses. There was some discussion. Six units have sold so far this year and there are four units on the market. The clubhouse rug will be shampooed on September 18, 2017. Oronoque Forest Condominium Board of Directors August 14, 2017 Directors Present: Don Germaine, Linda DiVicino, Jerry McCarthy, Arlene Winters, Jack Ambrose, Arnie DeMaio, Mike Romeo, Deb Eldrich, Ozzie Levene, Nan Ross Opening: The meeting was called to order at 7:05 PM by Winters. Unit Owners Present: Jay Blandary (331) Minutes: A motion was made by Eldrich and seconded by Romeo to approve the minutes with no objections or corrections. Financial: McCarthy reported two units were past due and letters would be sent. Levene questioned why there were delays in cashing the common charge checks. McCarthy stated that this was rare. Winters had questions about accounts paid and wanted more of a breakdown in the monthly statement. There was a good deal of discussion with a variety of suggestions. McCarthy suggested doing it as budgeted vs. actual which was agreed upon. Landscaping: DeMaio stated that hemlocks were being attacked by the same pest that hit the water company property. Spraying has taken place and another spraying will be repeated. He also wants to start taking out bushes in the early fall and as well as doing some replacements. Winters would like trees replaced that were taken down, but it may not be possible to replace all of them. Ambrose has received a number of work orders for the removal of dead shrubbery. There was some discussion about the stumps; some have been removed and others not yet. McCarthy would like a list. Building/Painting/Siding Replacement: Siding replacement is ongoing weather permitting as well as spot repairs. Painting is in progress on building 40. Carpentry is complete on buildings 78, 79 and 41. Carpentry is in progress on building 38. Capital Projects: Winters stated that the Berwick wall is taking a long time to complete and there are still some smaller walls left to do. There will be a first inspection of this wall. The lower exit wall will be part of next capital project. Inspection of the decks will be done with the city inspector in the next several days. Unit Owner Issues: Eldrich reported that a neighbor has a number of issues with his unit which he would like resolved. McCarthy will look into this by contacting the owner the following day. Eldrich had questions about who determines who does the work for a driveway. The condo decides what, when and how it should be done and if it is the condo’s responsibility. If the condo decides it is not the responsibility of the condo, the responsibility falls on the owner. A two dog issue has been resolved with one of the dog’s going to live with a relative of the family. Replacement windows were approved for one owner, a proposal is needed for replacement windows for another unit and another unit owner needs to submit information for the installation of a gas grill. Good and Welfare: No report Tennis Courts: Concerns were expressed that the paint blending for the tennis courts was not as good as hoped for and it was decided to wait until next year to see if this improves with time. Annual Party: The annual party will be Sunday September 10, 2017. Executive Session: No unit owners were present. Miscellaneous: Romeo is charge of pool issues. There were some questions about the new umbrellas, but they should arrive tomorrow. Eldrich proposed a policy or committee to deal with the appearance of the community. There will be a committee to discuss future capital projects. Several units have sold. McCarthy would like to raise the deductible to $25,000 from $10,000 for the condo insurance policy. The deductible would be covered by the owner’s insurance. DeMaio would like an amendment to the By-Laws requiring all unit owners to have insurance. McCarthy will speak to the condominium attorney about requiring each unit owner to have insurance. Oronoque Forest Condominium Board of Directors July 10, 2017 Directors Present: Linda DiVicino, Jerry McCarthy, Arlene Winters, Jack Ambrose, Arnie DeMaio, Mike Romeo, Deb Eldrich, Ozzie Levene, Nan Ross Opening: The meeting was called to order at 7:05 PM by Winters. Unit Owners Present: Jan Isenberg, Ron and Judy Tierney, Michael and Pam Stearne, Danielle Kinstlinger, David and Joanne Byrne The owners expressed concerns regarding a resident’s behavior, possible pickle ball, umbrellas (two are broken and would like to add three freestanding) and the progress regarding the repairs to the tennis courts. There was discussion to attain more legal advice. Minutes: A motion was made by Levene and seconded by Eldrich to approve the minutes with no objections or corrections. Financial: McCarthy reviewed income and expense. Winters had a question about the fee for engineering one wall which was explained. Landscaping: DeMaio stated that planting for the new wall at the top of Glen Devon Dr. would happen in the fall. The removing of tree stumps and review of work orders involving plantings would also take place in the fall. Building/Painting/Siding Replacement: Siding replacement is ongoing weather permitting as well as spot repairs. Carpentry completed on buildings 40, 41, 78 and in progress on 79. Completed buildings are ready for painting. Capital Projects: A discussion took place concerning which walls were to be completed under the old assessment. Unit Owner Issues: Stones under the unit 333 deck have been removed. The railing for the front porch at unit 601 needs to be put in place. Other unit owner issues were discussed. Good and Welfare: A condolence card was sent. Tennis Courts: Work is in progress and Dalton is doing a great job. There was discussion as to whether to paint the entire court or wait to see how well blending is done. The decision was to wait and see. Pickle ball was again discussed and it was decided to table it. Annual Party: The annual party will be Sunday September 10, 2017. Executive Session: No unit owners were present. Budget: McCarthy presented the August 1, 2017 to July 31, 2018 budget. He recommended a 4.7% increase in the common charges which would increase individual units $15, $16, $19 and $20 per month depending on the unit model. McCarthy also reviewed line items as to decrease, increase or remain the same. A motion was made by Eldrich to accept the common charge increase as well as the proposed budget and seconded by Romeo. There was discussion and it passed unanimously. The budget meeting for owners is scheduled for July 24, 2017 at 7:00 PM in the clubhouse. Miscellaneous: Ambrose made a motion to have a consultation with a specific type of lawyer which was seconded by Ross. Discussion ensued and it passed unanimously. It was not clear if the two broken umbrellas could be fixed, and if not, they would be replaced. It was also decided to add two free standing umbrellas. Some paving will be done by Elmer in the near future. There was discussion concerning the one pet rule. A renter has two pets which is not allowed. Ambrose made a motion to find the owner of the unit $25/day until one of the pets is removed and was seconded by Levene. There were questions about the dollar amount. Ambrose made an amendment to the motion that the fine would be $100/week which was seconded by Romeo. It passed unanimously. Oronoque Forest Condominium Board of Directors June 12, 2017 Directors Present: Linda DiVicino, Jerry McCarthy, Arlene Winters, Jack Ambrose, Arnie DeMaio, Mike Romeo, Deb Eldrich, Don Germaine Opening: The meeting was called to order at 7:06 PM by Winters. Unit Owners Present: None present Minutes: A motion was made by Romeo and seconded by Germaine to approve the minutes with no objections or corrections. Financial: McCarthy reported that there was approximately $176, 000+ in reserves and approximately $202,000+ in capital. Income and expenses were reviewed. Common charges are up-to-date. McCarthy would like to have a budget meeting in the next couple of weeks and have a budget ready for the meeting in July. He would mail a copy of the proposed budget to the board. McCarthy also would like a meeting to discuss the next capital project. Winters proposed money for walls not completed go into landscaping, but nothing was decided. DeMaio would like copies of bills on work completed that are extras for landscaping. Pruning is part of contract with Amity. Landscaping: DeMaio stated that the grinding of the stumps should be done in the fall. Again, any plantings should be done in the fall. Building/Painting/Siding Replacement: Siding replacement is ongoing weather permitting as well as spot repairs. Building 41 is completed and ready to be painted, etc Winters would like a cost break-down on the siding, etc. Capital Projects: McCarthy reported that a cement pour was done today and another will be done later in the week on the wall at the top of Glendevon. Unit Owner Issues: Stones under unit 333 deck should be removed. Unit 462 needs to remove screen door that does not meet the standards of Oronoque Forest Condominium. DiVicino made a motion to remove the screen door at unit 462 with a fine of $25/day being levied starting June 26, 2017 and seconded by Ambrose. This passed unanimously. Winters read a letter she received from unit 383. Other unit owner issues were discussed. Good and Welfare: None Tennis Courts: Work on the tennis courts will start around June 20, 2017 weather permitting. Annual Party: The annual party will be Sunday September 10, 2017. Executive Session: No unit owners were present. Miscellaneous: The insurance claim for one of the units was explained by McCarthy. Four driveways will be started sometime in the near future. McCarthy has been looking for a bolt for a water pipe. Unit 362 has sold. Oronoque Forest Condominium Board of Directors May 8, 2017 Directors Present: Linda DiVicino, Jerry McCarthy, Arlene Winters, Ozzie Levene, Jack Ambrose, Arnie DeMaio, Mike Romeo Opening: The meeting was called to order at 7:01 PM by Winters. Unit Owners Present: Pat Rudolph and Jay Fajen (383) presented a letter to the board with their concerns about their deck. They requested a rock be removed from the back area of their unit. They also had questions about a grill for the deck. Minutes: A motion was made by Ambrose and seconded by Romeo to approve the minutes with no objections or corrections. Financial: There was no financial report. The new/used machine was purchased for $24,500 (COD) with a $500 credit which came out of the capital monies. This machine had approximately 1800 hours and terrain tires were put on for better traction. The company did a full service on the machine. Landscaping: DeMaio reported there have been many requests for replanting, etc. He proposed writing a letter to explain the situation. Ambrose suggested that the committee investigate what can be done, and McCarthy suggested the board will decide on replacements, etc. There was a good deal of discussion. A letter will be written and mailed to owners. DeMaio also reported that there are plans for more greenery at the front entrance. Building/Painting/Siding Replacement: Siding replacement is ongoing weather permitting. Carpentry has been completed on building 40 and is 50% complete on building 78. Spot repairs continue. Decks are generally power washed after the buildings have been painted; otherwise, owners should submit a work order. Capital Projects: McCarthy reported that footings are ready to put in at the top of Glendevon. We’ll be looking for a new truck before the winter and the monies will come out of the reserves. The wall on the right after the exit needs to be done and hopefully it can be done in house. McCarthy will be looking into paving and driveway issues. Oronoque Forest Condominium Board of Directors April 24, 2017 Directors Present: Linda DiVicino, Jerry McCarthy, Arlene Winters, Nan Ross, Ozzie Levene, Jack Ambrose, Arnie DeMaio, Mike Romeo, Don Germaine Opening: The meeting was called to order at 7:05 PM by Winters. Unit Owners Present: Philip Jacob (371) was in attendance to hear about complaints from neighbors about the noise his son’s car makes and he said would look into it. Lynda Munro (471) came to discuss issue with trees and shrubbery removal in the vicinity of her unit and the desire to have replacements Michael and Pamela Stearne (663) expressed similar sentiments about the removal of trees and replacements. DeMaio addressed some of the issues concerning the removal and replacement of trees and shrubberies. Judy Tierney (743) discussed planting some shrubbery around a neighbor’s air condition unit to tamp down the sound and the need to be in touch with Amity. She also wondered about the one pet per unit rule. Winters and McCarthy explained that this was in the By-Laws and Rules. Minutes: A motion was made by Levene and seconded by Ross to approve the minutes with no objections or corrections. Financial: McCarthy reviewed the monthly income and expenses as well as the reserve and capital monies. Winters wanted further explanation on insurance claims. McCarthy stated claims have not affected our insurance premiums negatively. Loss control people have given Oronoque positive reviews. Our insurance is always primary and the Maintenance Standards that were developed requires owners to pick up the deductible. The insurance companies decide who and what they will pay. Some claims were taken care of in house. Landscaping: DeMaio discussed the inspection of bushes and trees he and Amity Landscaping will be doing. This is an annual inspection. There will be perennials as well as annuals planted at the front entrance. Winters questioned the grinding of the tree trunks stumps which DeMaio stated would be done in the fall. Building/Painting/Siding Replacement: Siding replacement is ongoing weather permitting. Spot work is being done on the buildings. Carpentry is completed on building 40 and 50% completed on building 78. Capital Projects: McCarthy reported work had begun at the top of Glendevon. He also stated the engineer should have the plans for the area of Glendevon Dr S and Berwick Lane. Unit Owner Issues: There were no unit owners present to discuss owner issues Good and Welfare: No report Miscellaneous: Winters brought up the issue of repaired walks around clubhouse that Elmer did last year as well as a couple of driveways which need to be fixed. Winters read a letter to the board which would be e-mailed to owners and posted on the bulletin boards Two units had the final closings. Winters and McCarthy want to begin the process of developing a new capital plan to address roadways, front wall, tennis courts, landscaping, etc. There was some discussion about the one pet rule. Levene made a motion to begin fining residents and/or owners who have more than one pet which was seconded by Ross. There was little discussion and it passed unanimously. Tennis Courts: McCarthy had several quotes to fix the tennis courts. Pickle ball was also discussed. Ross made a motion to repair and restore the tennis courts to not exceed $10,000 which was seconded by Ambrose. McCarthy made a motion to amend it to $12,000. There was plenty of discussion. The two railings at the mail boxes cost approximately $771. Landscaping: Amity Landscaping will continue with lawn maintenance, etc. Building/Painting/Siding Replacement: Siding replacement is ongoing weather permitting. Spot work is being done on the buildings. Capital Projects: The survey work has been done on the walls to be completed this year. The hot road paving is still being investigated as a possibility for the main road. McCarthy and Kevin Thorburn have been looking into a new-used lift for Oronoque. There is one that looks like a strong contender and Oronoque will rent it for a week to determine if it’s a solution for here. The cost would be approximately $24,000. Ambrose asked about the possibility of doing an installment plan, but McCarthy didn’t think that would be acceptable for the company. Unit Owner Issues: Parking is still an issue on Heather Lane. A water cap was replaced on one pipe. Good and Welfare: No report Miscellaneous: There are six units for sale, and one unit has been rented. Two units sold with the closings in March. There are removable lines that cab be used, but this needs to be further researched and one of the residents who is interested should do the research. Unit Owners Present: Janis Isenberg (unit 552) had concerns about a water pipe in her driveway which McCarthy would look into. She also expressed concerns about a resident. Pat Rudolph and Jay Fajen (383) would like compensation for the original area of their enlarged deck. McCarthy will get more information about this. Rita Bruson (462) would like a railing placed walking up to the mailbox she uses. A six month budget of proposed vs. actual expenses was requested by Ambrose. A motion was made by Ambrose to install railings at two of the three mailboxes and was called by Romeo. Minutes: A motion was made by Eldrich and seconded by Germaine to approve the minutes with no objections or corrections. Financial: McCarthy reviewed the monthly income and expenses. All common charges are up-to-date except for one. Landscaping: Winters has received complaints about refuse blowing back on property. McCarthy reported on the wall at the top of Glendevon Dr. It will be a six foot tall wall and the engineer is working on the plans. There will be some grading with plantings. Surveyors were measuring the wall for around unit 342. Building/Painting/Siding Replacement: Siding replacement is ongoing weather permitting. Seven buildings were completed this year including any extras needed. Capital Projects: Winters brought up paving issues and McCarthy is still in the process of getting some estimates. There also was a question about hot paving and McCarthy has asked for the company to come and view the possibility of doing it on the main road. Unit Owner Issues: A unit owner wrote a letter requesting a rail at the mailbox. Ambrose made a motion to not allow the railing at the mailbox. There was some discussion and the motion passed unanimously. One driveway will be done in the spring. Two units have requested that trees be removed in front of their units and this was tabled until DeMaio returns. Another unit owner requested using sliders to replace some windows and this was also tabled in order to investigate further. One unit owner requested information about putting up an awning and McCarthy responded how to do it. Good and Welfare: No report Miscellaneous: Winters questioned the need for a new lift machine and McCarthy stated that they are working on purchasing a newer one and getting closer to making a decision. A new-used one would cost in the $20,000 range. Winters would like this to happen before the summer. There is also a need to replace one of the trucks and McCarthy feels it probably has another year of life. Kevin Thorburn and McCarthy do the investigations about equipment. Winters also wondered about using LED lights for the outside poles, but McCarthy stated they would not work. One unit sold on Berwick Lane and another unit has been rented on Berwick Lane. Ross and Winters have been working and revising a new directory. Winters questioned unit owners versus condomium responsibilities. These are covered in the By-Laws and Maintenance Schedule. Reserve monies are approximately $176,000+ with around $16,000 being transferred from capital into operating. Capital monies are approximately $296,000. One unit owner in arrears with common charges has been sent to the condo lawyer. One unit owner is two months in arrears. A third unit owner is also behind. Another unit owner has paid in full. Landscaping: The replacement trees on Heather cost approximately $5520. McCarthy stated that the crab apple trees will be taken down. Winters would like a replacement tree in front of the clubhouse. Some owners at the top of Thornhill have done some reseeding. There have been a number of reseeding work order requests which will be done, but the unit owners will need to water every day in order for this to be successful. A decision for the top of Glendevon Dr has not been made as to whether it will be graded or a new wall will be installed. Building/Painting/Siding Replacement: Siding replacement is ongoing weather permitting. Painting is completed for buildings 73, 72, 71, 76 and 77. Carpentry is completed for building 48 and clubhouse painting is 50% complete. Joanne Bryrne reported the plans for the social club (happy hour and holiday dinner). She asked that McCarthy send out the flyers for the holiday party to which he agreed. There were compliments given about the pool and the annual party. Minutes: A motion was made by Germaine and seconded by Romeo to approve the minutes with no objections or corrections. Financial: McCarthy reviewed the monthly income and expenses. Reserve monies are approximately $176,000+ with around $16,000 being transferred from capital into operating. Capital monies are approximately $296,000. Everything is paid that should be paid. One unit owner in arrears with common charges has been sent to the condo lawyer. Another unit owner in arrears has made a payment. A third unit owner is behind. Landscaping: DeMaio asked about the sprinkler system for the island in front of the complex. There are about eleven crabapple trees that need to be removed and DeMaio needs the cost associated for the removal. One owner wants to keep his and has agreed to be responsible for the tree. Other owners have indicated that they would replace the crabapple tree with another type of tree at their expense. McCarthy asked for a list of the crabapple trees to be emailed to him so he can review them. A tree needs to be pruned in back of building 52. A dogwood at the tennis courts needs to be removed and replaced. DeMaio expressed concerns about some of the lawns. DeMaio has the price for the replacement trees on Heather Lane. We are looking at spruce trees and how many are needed. Some people asked about clearing the undergrowth around the pond, but this will not be done. Building/Painting/Siding Replacement: Siding replacement is ongoing weather permitting. Painting is completed for buildings 73, 72, 71 and 77. Painting is in progress for building 76. Buildings 78 and 79 were eliminated for this year, but building 40 may be done. Nineteen chimney caps have been replaced. Garage doors that have been dented will be repaired. Capital Projects: The work has begun on the wall in back of building 71 and will take approximately 8 weeks to complete. All permits, inspections, etc are in order. Unit Owner Issues: Ambrose reported the car and truck have been removed from the visitor parking slots on Heather. He also reported that the cherry picker leaked oil on a driveway which will be fixed. A unit owner has a water cap issue and McCarthy will look into having the curve side cut around it. Good and Welfare: Three get well cards were mailed. Pool: LGB put in a new motor at the pool. DiVicino made a motion that no more than four guests per unit are allowed at the pool at any one time and Ross seconded the motion. A discussion was called for, but there was none and the motion passed unanimously. Tennis Courts: Ambrose has gotten some calls about the condition of the courts, but we had decided to do repairs in-house. One resident offered to find out what Yale uses on their courts. Miscellaneous: McCarthy is still investigating all options about street paving. McCarthy stated he needs to address the issue with the satellite dishes that need to be removed and the cost associated with the removal which unit owners will pay. Ambrose stated there are six units for sale. McCarthy reported that they have not found a cherry picker that meets Oronoque’s needs. There was some discussion about road signs. The Bashkins came to review their concerns about the trees in back of their unit and new concerns about the possible removal of bushes around one of their decks. They want to be kept up-to-date. Financial: McCarthy reviewed the monthly income and expenses. Reserve and Capital monies remain about the same. A letter has been sent to the condominium lawyer for final notice on arrears for common charges for one unit. Landscaping: DeMaio has started work to enhance the front entrance and this will continue into the fall. He will be putting in more perennials. McCarthy will look into continuing the sprinkler system at front entrance. Winters asked the tree in front of the clubhouse be removed and a tree in front of unit 711 needs to be removed. There are roots in front of unit 472 that need to be removed. Building/Painting/Siding Replacement: Siding replacement is ongoing weather permitting. Painting is 50% complete for building 73 and 90% complete for building 72. Carpentry is in progress for building 76 and completed for building 77. Minutes: A motion was made by Romeo and seconded by Germaine to approve the minutes with no objections or corrections. Financial: McCarthy reviewed the monthly income and expenses. Reserve and Capital monies remain about the same. The collections of common charges are excellent except for one unit owner which will be turned over to the condominium lawyer. We will be increasing the reserve monies as we can. Winters asked about putting some of the reserve into GinnieMae. This was quickly researched and was rejected because it is not FDIC protected. Ambrose requested the twelve month actual budget be available to the board by the end of July. Landscaping: DeMaio stated he has been getting many requests for reseeding. He read a letter to the board that he would like to send to unit owners explaining the situation at Oronoque. This was approved by the board. DeMaio would like to put new plantings at the front entrance that would include annuals and perennials. One unit owner, who has planted a number of trees, would like them trimmed by the association. McCarthy will discuss this with Amity and have them take care of some of the work. Building/Painting/Siding Replacement: Siding replacement is ongoing weather permitting. Carpentry has been completed on buildings 73 and 72. Painting is in progress on building 71. Capital Projects: The work on the wall in back of building 75 is progressing nicely. There are still at least two more large walls to be done and a possible grading in a third area. Building permits are needed to start the work on the wall in back of building 71. The new pool signs have been posted. The street signs are coming in. McCarthy and Kevin Thorburn will confer about the tennis courts. The old cherry picker is limping along and at times it has been necessary to rent one. Management is still looking to replace it, but hasn’t found one that fits the needs of Oronoque. McCarthy is still investigating the “hot in place asphalt replacing”. Snow Removal: No report Unit Owner Issues: Ambrose spoke to a unit owner concerning the parking of a truck in their area although the truck has not been parked in the complex for the past few weeks. It was suggested to paint the few extra spaces, not the parking lot near the pool, with the word “guest”. Good and Welfare: A get well card was sent to a former unit owner. Rules and Regulation Document: The document that Winters was given, which she signed and had notarized, was sent to Attorney Berg. Our new Declaration and By-Laws were recorded on July 8, 2016 at West Haven City Hall. The new Declaration and By-laws can now be sent to all unit owners and replaces the old documents. Miscellaneous: A couple of unit owners had questions about renting their units and the parameters were explained which can be found in our documents. There was some discussion about summer rental of the clubhouse which had never been done in the past, but will be allowed. Oronoque Forest Condominium Board of Directors June 13, 2016 Directors Present: Arlene Winters, Jack Ambrose, Linda DiVicino, Jerry McCarthy, Ozzie Levene, Nan Ross, Arnie DeMaio, Mike Romeo Opening: The meeting was called to order at 7:05 PM by Winters. Unit 712 expressed concerns about the removal of trees between Kyle and Heather due to issues of privacy for their unit. They asked to be kept informed about the possible replacement plantings in that area. DeMaio will keep them informed. Two other unit owners expressed concerns about the parking rules not being enforced. McCarthy and Winters responded and will follow through on their concerns. Minutes: A motion was made by Levene and seconded by Ross to approve the minutes with no objections or corrections. Financial: McCarthy reviewed the monthly income and expenses. Reserve and Capital monies remain about the same. The collections of common charges are excellent except for one particular unit owner which is being followed. We will be increasing the reserve monies as we can. Landscaping: DeMaio discussed putting in more permanent plantings along with some annuals at the front entrance. Compliments were given for the plantings done around the Tummel Lane wall. Reseeding of grass will be done in the fall, but there are areas where this will not be successful due to soil, etc. Where replanting of trees takes place, trees that have roots that run deep will be the chosen. Building/Painting/Siding Replacement: Carpentry has been completed in the clubhouse as well as building 71 and 73. Carpentry is almost finished in building 72 and work will begin on building 77. Garage doors are being painted when the buildings are being painted. Capital Projects: There are eight small retaining walls to be done. The large wall in back of building 75 will begin with the permits being pulled. The West Haven building inspector had many positive comments on the professionalism of the work being done. There continue to be problems off and on with the old machine and at times it has been necessary to rent. McCarthy discussed another way of paving roads that is “hot in place asphalt replacing”. He will look into this. Snow Removal: No report Unit Owner Issues: There were questions about renters and the unit owner making sure they are given the rules and regulations. TV dishes can only be mounted on decks. All other dishes will be removed. There were a few unit owner issues discussed. Good and Welfare: A get well card was sent to a former unit owner. Rules and Regulation Document: Winters was given a document to be signed and notarized so that the new Declaration and By-Laws can be entered into the city of West Haven records. This will complete the revising of all the condominium documents. Oronoque Forest Condominium Board of Directors May 9, 2016 Directors Present: Arlene Winters, Jack Ambrose, Linda DiVicino, Jerry McCarthy, Ozzie Levene, Nan Ross, Arnie DeMaio Minutes: A motion was made by Ambrose and seconded by Levene to approve the minutes with no objections or corrections. Financial: McCarthy reviewed the monthly income and expenses. Reserve and Capital monies remain about the same. A final notice was sent to one unit owner, who is in arrears with common charges, and this will be turned over to the condominium attorney to place a lien on the unit. There was a question if there was enough money to complete the projects as planned and the answer was in the affirmative. There was another question about replenishing the reserve monies and it was explained it would happen after the capital projects are completed. There was discussion of adding at least $90,000 to the reserve. The audit for July 1 2014 to June 30 2015 has been completed. All mortgage information has been received and notice to the holding companies was sent out April 22, 2016. Once 45 days has passed, the process for up-dating the condominium documents will be completed. Landscaping: DeMaio stated that he has received requests about lawn reseeding, etc. There are issues with the soil and growing grass. A list of lawns will be given to McCarthy to assess the requests. Reseeding will be put off until fall. Bush, shrubs, etc replacement in front of units is an ongoing project. Removal of dead shrubbery, etc will be put into the contract with Amity. Building/Painting/Siding Replacement: No report Capital Projects: No report Snow Removal: Approximately $11,000 was spent on snow removal. Unit Owner Issues: There are some unit owners who have placed items in the common areas without permission and the items need to be removed. A letter will be sent. Good and Welfare: Another card will be sent to Ann Nishball. Clubhouse: No report Pool: Pool rules will be mailed to unit owners. Winters wants at least two plastic signs in the pool area with rules and times on them. Rules and Regulation Document: The Rules and Regulation document was reviewed and a few corrections were made. Levene made a motion to approve the Rules and Regulations as recommended by the board which was seconded by Ambrose. The motion passed unanimously. Miscellaneous: There had been a request for a line to be painted in the pool which was discussed and rejected. Unit owners need to let management know that their unit is rented as well as give out rules and regulations to renters. Street signs were still not available. McCarthy will deal with television dishes that are not in compliance after the Rules and Regulations document is approved by the board. Winters brought up the issue of termites in the area of the garage doors. McCarthy stated that this will be investigated and treatment will be started where needed. Winters would like all the areas done. Treatment per garage door is about $200. The termite issue will be handled as maintenance. Carpentry bees were also mentioned. Ambrose asked about the summer pay loader. McCarthy stated that they were still investigating whether to fix some issues or replace the machine. If replacing the unit, they might look into buying a reconditioned one. Oronoque Forest Condominium Board of Directors April 11, 2016 Directors Present: Arlene Winters, Jack Ambrose, Linda DiVicino, Jerry McCarthy, Mike Romeo, Ozzie Levene, Nan Ross, Arnie DeMaio, Don Germaine The meeting was called to order by Winters at 6:35 PM. She explained the reason for the meeting and how rules are developed. Each owner present was given the opportunity to express their opinions concerning the pool/children rules. Fifteen wanted the children hours to remain the same and 27 wanted to extend the children hours. E-mails received by the secretary were counted into the totals listed. Two board members (DiVicino and Ross) also gave their opinion to keep the children hours the same. After this part of the meeting, the board went into the regularly scheduled board meeting. None of the unit owners choose to remain for the board meeting. Minutes: A motion was made by Ambrose and seconded by Ross to approve the minutes with no objections or corrections. Financial: McCarthy reviewed the monthly income and expenses. Reserve and Capital monies remain about the same. A final notice was sent to one unit owner, who is in arrears with common charges, and this will be turned over to the condominium attorney. Four unit owners did not response to the request for mortgage lenders which will be followed up with phone calls. Once all mortgage lenders are notified concerning the revised Declaration and By-Laws and have responded or 45 days have passed after notification, the revised Declaration and By-Laws will be sent to all owners. The audit (7-1-2015 to 6-30-2015) should be ready by the end of the month. There was more discussion about doing the audit every year or every two to three years. It was decided to continue doing the audit every year. Landscaping: DeMaio reported on the clean-up. He proposed taking out seven pine trees and roots at a cost of $700 each for a total cost of $4900 before work on the wall between Kyle and Heather Lane begins. Once the wall has been completed, he would replace some of the trees. This was approved unanimously. He will continue with front shrub/bushes replacement where needed in the fall. This is an ongoing project. Levene requested that his driveway be inspected for possible root problems from a nearby tree. Building/Painting/Siding Replacement: Siding is always in progress weather permitting. Carpentry is in progress on building 73. The next building will be 72 as well as various buildings where needed work must be done. Capital Projects: There are four large walls to be done this cycle as well as some smaller walls. Any wall over five feet tall will need a permit. Snow Removal: No report Unit Owner Issues: No report Good and Welfare: A get well card has been sent to Ann Nishball and Bea Phillips has moved to Florida. Clubhouse: There is still some remaining work to be done such as lighting and ceiling fans in the clubhouse. Children/Pool Rules: A motion was made by Ambrose to extend the children hours at the pool from 10 AM to 6:00 PM which was seconded by Levene. There was discussion pro and con and a vote was taken. The motion passed with two nay votes (DiVicino and Ross). Miscellaneous: Two units have been sold. There has been some confusion about the street signs and where they are needed. Pickle ball (a unit owner had inquired about this in an e-mail) was explained, but there are no plans to do anything. Ambrose reported that cracks are getting wider and deeper in the tennis court. Kevin Thorburn, (head maintenance) would be willing to do the job. McCarthy will look into this project. Oronoque Forest Condominium Board of Directors March 14, 2016 Directors Present: Arlene Winters, Jack Ambrose, Linda DiVicino, Jerry McCarthy, Mike Romeo, Ozzie Levene The meeting was called to order by Winters at 7:05 PM. Minutes: A motion was made by Ambrose and seconded by Romeo to approve the minutes with no objections or corrections. Financial: McCarthy reviewed the monthly income and expenses. Reserve and Capital monies remain about the same. All unit owners are up-to-date with the common charge except for one or two. McCarthy’s payment has been fixed. The audit will be completed in about two weeks. McCarthy will speak to the condo lawyer about the necessity of doing an audit every year. There was some discussion pro and con about this matter. Levene does not think it is necessary, but only to make the owners more comfortable. Thirteen people out of 149 unit owners have not responded for the mortgage information which is needed to complete the revised Declaration and By-Laws. Board members will contact these thirteen by telephone. Landscaping: No report Building/Painting/Siding Replacement: Siding is always in progress weather permitting. Carpentry is in progress on building 73. Capital Projects: A Capital Projects income and expense breakdown from March 2010 to July 2015 was provided to the board, but there are still questions in how the breakdown was presented in the report. Snow Removal: Approximately $8000 has been spent on snow removal so far this year. Unit Owner Issues: No report Good and Welfare: A get well card has been sent to Ann Nishball and Bea Phillips has moved to Florida. Clubhouse: Most of the work (painting, laying new floor in kitchen, etc) has been completed. The bookcase has been removed and will not be replaced. The books have been donated. Track lighting and the ceiling fans will be done in the near future. Miscellaneous: McCarthy stated that the street signs have not come in yet. An e-mail will be sent to residents on the e-mail list as well as notices being put up to discuss the pool rules concerning children’s hours. It was decided to start the meeting at 6:30 PM so residents can indicate their preference for the time. People, who are not able to attend the meeting, can submit their preference by e-mail or note. Oronoque Forest Condominium Board of Directors February 15, 2016 Directors Present: Arlene Winters, Jack Ambrose, Donald Germaine, Linda DiVicino, Jerry McCarthy, Nan Ross The meeting was called to order by Winters at 7:10 PM. Minutes: A motion was made by Ambrose and seconded by Ross to approve the minutes with no objections or corrections. Financial: McCarthy reviewed the monthly income and expenses. There was a question about different insurance companies on the expense part and this was explained. The reserves and capital monies remain the same. There was a brief discussion of the pros and cons to creating a tax district, but it was decided that Oronoque Forest was not large enough. A final past due notice will be sent to one unit owner. The audit should be ready in about three weeks. Landscaping: Ambrose reported that he had spoken to Amity Landscaping who recommended replacing about 40 shrubs, etc each year. Ross reported that there was considerable damage to a number of trees on Heather Lane which will be looked into. Building/Painting/Siding Replacement: Siding is always in progress weather permitting. Building 73 is in progress. Garage door painting is also in progress. The board is pleased with the garage door painting and less so with the building painting. Capital Projects: There are still some small walls to be completed on Glen Devon Dr S, Kyle, and Berwick. Grading of the land looks promising at the top of Glen Devon. Unit Owner Issues: No report Good and Welfare: No report Clubhouse: Winters made a motion to amend the motion from the December 14, 2015 to raise the rental fee to $175 from $150 and maintain $250 deposit for the clubhouse. There was no discussion and it passed unanimously. Miscellaneous: McCarthy has ordered street signs. Winters discussed the issue of the children pool hours. An e-mail and a notice will be posted to have the meeting before the next monthly board in April. It was decided to drop the parking issue. A face lift will be done at the clubhouse with painting, new flooring in the kitchen, refreshing the woodwork, etc. Additional clickers for the front gate will cost $50 each. There were 112 responses to the request for mortgage holders information. All 149 units must respond in order to notify the mortgage holders so that they can vote for the revised Declaration and By-Laws. Another letter will be sent. There are two Preswicks and three Turnberrys for sale. There was a discussion about whether doing an audit each year was necessary versus doing a review. There are three levels: Compilation, Review and Audit. McCarthy will investigate this further. Minutes: A motion was made by Romeo and seconded by Germaine to approve the minutes with no objections or corrections. Financial: McCarthy reviewed the monthly income and expenses. Two unit owners are in arrears with common charges and a final notice for payment will be sent. Monies will be added to the reserve starting next year. Landscaping: DeMaio reported that there is nothing new to report. Enhancement to the front of units will continue next year. He will see if pruning can be done to the entrance bushes. Building/Painting/Siding Replacement: Siding is always in progress weather permitting. Five buildings were completed this year. Some garage doors will be looked at this year to see if work is needed. Capital Projects: A wall was being done in back of Tummel Lane. There are monies available to complete a few more big walls. Unit Owner Issues: The issue of unit owners leaving their garbage cans outside has been taken care of and the fire pit is to be removed. Letters will be sent out about the placement of dishes after the Annual Meeting. New signs for some streets are needed. Good and Welfare: No report Miscellaneous: DiVicino made a motion to rescind the time change for children to be at the pool until 6:00 PM which was seconded by Ross. This passed unanimously and children can be at the pool until 5:00 PM. There will be a meeting with unit owners to discuss the children/pool/hours and than the board will make a decision. There is still an issue with a truck parking long term. McCarthy will check to make sure no one else is using propane for their outdoor grill. There was a question about doing an audit every year vs. every two years. McCarthy will check on this as well. Clubhouse: Winters proposed raising the rental fee for the clubhouse. Winters made a motion to raise the rental fee to $150 starting January 1, 2016 which was seconded by Romeo. There was discussion and the motion passed unanimously. Oronoque Forest Condominium Board of Directors November 16, 2015 Directors Present: Arlene Winters, Jack Ambrose, Arnold DeMaio, Donald Germaine, Linda DiVicino, Jerry McCarthy, Nan Ross The meeting was called to order by Winters at 7:20 PM. Minutes: McCarthy read the October 12, 2015 minutes. A motion was made by Ambrose and seconded by Germaine to approve the minutes with no objections. Financial: McCarthy reviewed the monthly income and expenses. Some items were more fully explained. The reserve and capital monies remain about the same. A few letters were sent to unit owners as a reminder to pay common charges which they did except for two. Landscaping: DeMaio stated that the gutters will be cleaned in between other work. There was some discussion about other landscaping companies and their costs, but it was decided to stay with Amity based on their work and costs. The two apple trees will be removed even though the unit owners near the trees like them. Building/Painting/Siding Replacement: Siding is always in progress weather permitting. All buildings scheduled for this year have been completed. There will be some touch up for some. Capital Projects: There are still some walls to be done and one small wall might be started. Unit Owner Issues: A letter will be sent to unit owners to remove television dishes later in the year. A letter will be sent to a unit owner in regards to renting the unit. There were concerns about summer items being stored under the decks which are not allowed. Garbage pails should not be left out after garbage pick-up. No fire pits are allowed. One deck has been completed and another is in the process of being completed. A storm door needs to be removed. A unit owner roof issue has been resolved. Damage in another unit has been completed satisfactorily. There has been an issue with some cement statuary. Ambrose made a motion to dispose of the cement pieces and Ross seconded the motion. There was a brief discussion and the motion passed unanimously. Good and Welfare: A card will be sent to a resident who continues to convalesce as well as best wishes on a marriage. Miscellaneous: McCarthy reviewed the Maintenance Schedule with a few changes. Ross made a motion to accept the Maintenance Schedule with the changes which was seconded by Ambrose. It was unanimously accepted. Winters wanted the Maintenance Schedule to be mailed to unit owners as soon as possible. Fines can be levied up to $100 once the Declaration and By-laws are accepted. The clubhouse will be rented in December and January for parties. Declaration and By-Laws Vote: There will be a continuation of the meeting on November 2, 2015 as well as the Annual Meeting on December 14, 2015. There are 121 proxies in favor of accepting the Declaration and By-Laws. Oronoque Forest Condominium Board of Directors October 12, 2015 Directors Present: Arlene Winters, Jack Ambrose, Arnold DeMaio, Ozzie Levene, Donald Germaine, Linda DiVicino, Jarry McCarthy, Mike Romeo The meeting was called to order by Winters at 7:10 PM. There were several unit owners who came to express their concerns about extending the children’s pool hours. It was decided that the board would be reviewing the previous decision to extend the pool hours for children. The matter will be reviewed and addressed prior to the opening of the pool. Minutes: A motion was made by Ambrose and seconded by Romeo to approve the minutes with no objections. Financial: McCarthy reviewed the monthly income and expenses. The reserve and capital monies remain about the same. An estimate for the wall work on Berwick could not be given, but materials were around $10,400. Common charge collections are generally good with the exception of a couple of unit owners. The new John Deere has been ordered as well as a new plow and they should arrive within a short period of time. There is 0% over a 5 year period to pay. Our old machine will be fixed. Landscaping: DeMaio reported that the replanting at the front of units has begun and will be an ongoing project with a review every year. There was discussion concerning fruit trees, in particular apple trees, that they be removed. One unit owner will be advised to take care of the particular apple tree at his unit. Some reseeding will be completed. Building/Painting/Siding Replacement: Siding is always in progress weather permitting. Carpentry has been completed on buildings 68 and 71. Painting completed on building 70 and painting in progress on buildings 69 and 75. Capital Projects: There is still ongoing discussion concerning which wall to do next. Grading at the top of Glendevon is being considered instead of a wall. Paving estimates are not in yet. Unit Owner Issues: One propane tank has been removed. A check will be done if there are other propane tanks when gutter cleaning is done. Letters about TV dishes in the wrong place will be sent out during the coming year. Winters wants the Maintenance Standards to be mailed. Good and Welfare: No report Miscellaneous: Winters discussed signage issues on some streets. Declaration and By-Laws Vote: An owners meeting will be scheduled for either October 26, 2015 or November 2, 2015 to vote on the Declaration and By-Laws.
